Overview: Defining IT Integration Strategy After Acquisitions

R1 RCM, a leading provider of technology-driven solutions for patients and healthcare providers, had acquired several companies, all of which relied on the Atlassian platform to get work done. The healthcare technology company needed to implement an IT integration strategy that aligned its people and processes across a unified Atlassian ecosystem.

R1 RCM partnered with Praecipio to guide them through merging and migrating various Jira and Confluence instances into the corporate R1 RCM Atlassian Enterprise Cloud environment, ensuring minimal impact on end users and data integrity.

Challenges: Sprawling Atlassian Instances & Disconnected Teams

The acquisition of multiple companies left R1 RCM with disparate Atlassian instances across various platforms, operating systems, versions, distributions, and license types. This also meant they inherited disconnected tools and applications with different configurations, unique data structures, and overlapping functionalities.

To establish a cohesive Atlassian footprint and connect teams across a single Cloud instance, R1 RCM had to merge instances and transition users from Server or Data Center products to Atlassian Cloud. This required the client to evaluate existing tools, identify overlaps and gaps, and determine which tools to keep.

Additionally, consolidating instances with different security protocols and permissions involved safeguarding sensitive data, adhering to strict processes, and aligning merged instances with compliance requirements. All add-ons, configurations, and permissions within its corporate Atlassian Cloud instance had to comply with HIPAA regulations and other industry requirements. While Atlassian Cloud products are HIPAA compliant, certain third-party apps were not and needed approval from the legal team.

Solution: Enterprise Cloud Consolidation & Migration

With proven success supporting enterprise-level Atlassian Cloud migrations, R1 RCM partnered with Praecipio to navigate the complexities of a large-scale merger and migration. Praecipio recommended a multi-stage migration strategy to move the Jira and Confluence server and Data Center instances to R1 RCM’s Enterprise Cloud platform. Not only would R1 RCM benefit from the cost efficiencies of Atlassian Cloud Enterprise, but they would also have the ability to segregate the apps by teams and scale their business within a more secure environment.

Our migration team started with a detailed analysis of each source instance to understand the migration scope, verify data compatibility, and determine the amount of data and add-ons to move. We upgraded each source instance to ensure they were prepared for cloud migration, which helped avoid potential issues that might come up during the process.

The integration process also required R1 RCM to navigate the dynamics of organizational change. Praecipio walked the client through this transition, collaborating with key stakeholders to understand how they used their tech stacks. We provided the objectivity our client needed to find common ground on combining tools and determine the best way to integrate spaces, projects, and apps in the new cloud environment.

Drawing from our experience with similar migrations, we performed a multi-phase migration where we adapted our processes and ways of working to meet R1 RCM's needs. After completing the first stage, we refined our approach based on learnings, ensuring that data moved cleanly and the subsequent migration phases stayed on schedule.

Praecipio also generated a comprehensive report detailing application data residencies and permissions to ensure a HIPAA-compliant cloud environment. We shared this information with the legal team and worked closely with them to approve the use of certain third-party apps.

Results: A Unified Atlassian Environment for All Teams

With the help of Praecipio, R1 RCM built a unified Atlassian Cloud environment with minimal user disruption and zero data loss. Since migrating to the cloud, the leading provider of healthcare technology solutions has saved on licensing costs, reduced IT overhead, and streamlined processes across the organization.

With a centralized and scalable tech foundation in place, R1 RCM can focus more on strategic initiatives that drive future growth and innovation in the healthcare technology sector.
